Summary

Linköping University (LiU) is one of Sweden’s largest universities, with a staff of 4,000 and a student base of 32,000. Linköping University conducts world-leading, boundary-crossing research in fields including materials science, IT, and hearing. Together they seek answers to the complex questions facing us today. Who is Linköping University (LiU)?

A research university in Linköping, Sweden, for both undergraduate and graduate students.

Enterprise Breakdown:

Established in 1975; 4,000 employees; 32,000 students.

Revenue:

$381.43 billion US Dollars.

Challenge:

There were too many unsynchronized manual content management processes that prevented editors from working efficiently with digital assets and other content.

Solution:

Implemented DAM for Sitecore in the summer of 2016, which integrated seamlessly with LiU’s Sitecore CMS.

Results:

  • Established a self-service portal so that marketing, communications, and digital teams can easily access all digital content, like images and videos.

  • Replaced manual content processes with automated workflows to save time and ensure accuracy with the creation and distribution of content.

  • Vastly improved website experience with images and videos consistently displayed in the right size and quality.

The Challenge

Before implementing a modern, sophisticated digital asset management (DAM) platform, LiU’s website editors spent far too much time searching through thousands of images and videos in order to create and then publish the right content – in terms of subject matter as well as desired size and quality.

For as long as it took to locate digital assets, content creators and editors didn’t have enough time to prioritize the creation, management, and distribution of better quality content, as well as higher volumes of it.

The Solution

The digital team implemented the Digizuite digital asset management (DAM) solution after the university’s legacy solution went out of production. Initially, LiU brought DAM for Sitecore into its ecosystems primarily as an image bank. However, teams of users across the university found that it could do much more.

Our old image bank went out of market, so we had to find a new product for archiving images. We learned about Digizuite’s DAM for Sitecore connector while we were in the process of implementing Sitecore. I knew that a DAM solution would be a very good thing for us because then we would be able to connect so many use cases”, says Magnus Johansson, Senior Project Manager, Linköping University.

Linköping University’s decision in consolidating their business-critical systems - content management system and digital asset management system - is a perfect solution for managing both digital assets (images, videos, documents, logos, etc) and shaping user experiences through their website to attract new students.

“We started out with a more simple use case - an archive. As we grew in our thinking and after implementing the DAM for Sitecore connector, we learned that we can use DAM for so many other things.”

The Results

By integrating the Digizuite digital asset management (DAM) platform with LiU’s Sitecore CMS, digital and marketing teams significantly reduced the time it previously took to manage Linköping University’s website. Their old manual processes are replaced with automated processes, saving them a lot of time internally.

Today, LiU has more than 20,000 assets in the Digizuite DAM. Still, it takes just minutes (or less) to find the right assets and to get them on the website in the exact size and quality necessary. This means a better performance and load time on liu.se as all images and videos are shown in the right size and quality. Having a sleek, accurate, up-to-date website shapes user experiences and attracts more visitors (and thus more inbound leads/applicants).

Also, LiU has since implemented the Office 365 connector, which allows the university’s 4.000 employees to access and insert relevant images and logos in their documents and presentations through Microsoft Office tools (Word, PowerPoint and Excel).

Last but certainly not least, with Digizuite’s user access controls and the ability to take out-of-date assets out of commission, it is far easier for LiU to meet both regulatory and brand compliance requirements.

Storing, managing and searching digital assets in a DAM solution is only as fruitful as the number of metadata you attach to each asset, making search a fast experience for every user.

This semester we will start using the AI feature and facial recognition in Digizuite DAM for adding metadata on all digital assets - there are a lot of faces at the university. The system can learn from that intelligence and recognize the images upon upload”, says Magnus Johansson.

“Our DAM solution adds value for our 4.000 employees at the university, who can easily access images.”
